Temperature Monitoring for Food Businesses: The Complete UK Guide

Everything small UK food producers need to know about temperature monitoring - legal requirements, acceptable ranges, what to do when readings breach limits, and how to keep audit-ready records.

Why temperature matters more than anything else

If you asked a food safety auditor to name the single most important thing a small food business can do, most would say: monitor your temperatures. Every day, without fail.

Temperature is the primary factor controlling bacterial growth in food. Between 8°C and 63°C - the "danger zone" - bacteria like Salmonella, Listeria, and E. coli can multiply rapidly, potentially doubling every 20 minutes. Below 8°C, growth slows dramatically. Above 63°C (or 75°C for cooking), most harmful bacteria are killed.

Every food safety incident that makes the news - every recall, every outbreak, every closure - can usually be traced back to a temperature failure somewhere in the chain. A fridge running too warm. A delivery arriving above the safe range. A cooked product not reaching core temperature.

What the law requires

Under UK food hygiene regulations (EU Regulation 852/2004, retained in UK law), food businesses must maintain the cold chain and ensure food is kept at safe temperatures. The key requirements are:

  1. Chilled food must be kept at 8°C or below. This is the legal maximum in England, Wales, and Northern Ireland. In Scotland, the requirement is 8°C but best practice guidance recommends 5°C or below.
  2. Frozen food must be kept at -18°C or below.
  3. Hot food being held for service must be kept at 63°C or above.
  4. Cooked food must reach a core temperature of at least 75°C (or 70°C for 2 minutes, or 80°C instantaneously) to ensure harmful bacteria are destroyed.
  5. Reheated food in Scotland must reach 82°C - a stricter requirement than the rest of the UK.

These aren't guidelines. They're legal requirements. Failure to maintain safe temperatures can result in EHO enforcement action, improvement notices, and in serious cases, prosecution.

What you need to monitor

Fridges and cold storage

Every fridge, chiller, and cold room in your premises needs regular temperature monitoring. Best practice is:

  • Minimum twice daily - morning and afternoon checks
  • Record the actual temperature - not just "it feels cold"
  • Use a calibrated thermometer if your fridge doesn't have a reliable built-in display
  • Set your fridges to run between 1°C and 5°C - this gives you a buffer before hitting the 8°C legal limit

Freezers

Freezer temperatures should be monitored daily:

  • Target: -18°C or below
  • Check at least once daily, ideally at the same time each day
  • Watch for frost build-up - excessive frost can indicate seal problems or thermostat issues

Deliveries

Every food delivery should be temperature-checked on arrival:

  • Chilled deliveries - should arrive at 8°C or below (ideally 5°C or below)
  • Frozen deliveries - should arrive at -18°C or below
  • Reject any delivery that arrives outside safe temperature ranges
  • Record the temperature, supplier, date, and time for every delivery
  • Check vehicle temperature if possible

Cooking temperatures

For cooked products, you need to verify that core temperatures are being reached:

  • Use a probe thermometer inserted into the thickest part of the food
  • Record the core temperature achieved
  • Clean and sanitise the probe between uses to prevent cross-contamination
  • Calibrate your probe regularly - at least annually, ideally quarterly

Hot holding

If you hold food hot for service (buffets, hot counters, bain-maries):

  • Maintain at 63°C or above
  • Check temperatures at least every 2 hours
  • Discard food that drops below 63°C and cannot be reheated to safe temperature within a reasonable time

Cooling

Cooling cooked food is one of the highest-risk processes in food production:

  • Cool from 63°C to below 8°C as quickly as possible
  • Best practice: below 8°C within 4 hours (the faster, the better)
  • Never put hot food directly into a fridge - it raises the fridge temperature and risks other stored food
  • Use blast chillers, ice baths, or shallow containers to speed cooling
  • Record the start time, end time, and final temperature

What to do when a temperature breaches

This is where many small producers feel uncertain. A fridge reading comes in at 9°C instead of 4°C. What now?

Immediate steps

  1. Check the food - is it still safe? How long has it been at the elevated temperature? Has the fridge door been left open, or is there a genuine equipment failure?
  2. Check the thermometer - is the reading accurate? Could the probe have been touching a warm surface?
  3. Take corrective action - if the food has been above 8°C for less than 4 hours, it may still be safe to use (cool it down and use it promptly). If it's been above 8°C for an extended period, you may need to dispose of it.
  4. Fix the cause - adjust the thermostat, repair the seal, move food to a working fridge, arrange an engineer visit.

Recording the breach

This is critical. When a breach happens, record:

  • The reading - exactly what temperature was recorded
  • The acceptable range - what the temperature should have been
  • The corrective action taken - what you did about it
  • Who recorded it - name and time
  • Any food that was affected - what was in the fridge, what was disposed of

Keeping accurate breach records actually helps you during an audit. It shows you're monitoring effectively, detecting problems when they occur, and taking appropriate action. An auditor would rather see a breach that was properly handled than perfect records that look suspiciously clean.

Equipment and calibration

Thermometers

For legal compliance and audit purposes, you need:

  • A digital probe thermometer for checking core temperatures of cooked food, deliveries, and any food you're concerned about
  • Fridge/freezer thermometers - either the built-in display (if reliable) or standalone digital thermometers placed inside each unit
  • A calibration schedule - probe thermometers should be calibrated at least annually, ideally quarterly

Calibration

To calibrate a probe thermometer:

  1. Ice point check - fill a container with crushed ice and a small amount of cold water. Insert the probe. It should read 0°C (±1°C).
  2. Boiling point check - boil water and insert the probe. It should read 100°C (±1°C) at sea level.
  3. Record the results - date, readings, any adjustments made.

If your thermometer is consistently reading outside these tolerances, replace it.

Record keeping: what auditors want to see

The basics

At minimum, your temperature records should include:

  • Date and time of each check
  • Location - which fridge, freezer, or piece of equipment
  • Temperature reading - the actual number
  • Who took the reading - name or initials
  • Corrective action - if the reading was outside the acceptable range, what was done

Paper vs digital

Paper temperature logs work - they're legally acceptable and many small producers use them successfully. But they have well-known problems:

  • They can be lost, damaged, or become illegible
  • They're hard to search or analyse
  • They rely on people remembering to fill them in
  • They can be backdated (auditors know this)
  • They take up physical storage space

How long to keep records

There's no specific legal requirement for how long temperature records must be retained, but best practice is:

  • Minimum 12 months for most records
  • Product shelf life plus 12 months for traceability-linked records
  • Indefinitely for any records related to food safety incidents

Common mistakes

  1. Inconsistent monitoring. Recording temperatures on Monday and Tuesday, then forgetting until Friday. Auditors spot gaps immediately. Set up a routine - same times every day, no exceptions.
  2. Recording "normal" instead of actual temperatures. Writing "OK" or "normal" instead of the actual reading. Auditors want numbers, not opinions.
  3. Not recording delivery temperatures. Every chilled and frozen delivery should be temperature-checked. If you don't check it, and it arrived warm, everything you made with those ingredients is potentially compromised.
  4. Ignoring slight variations. A fridge that gradually creeps from 3°C to 6°C to 7°C over a few weeks is telling you something. Act on trends before they become breaches.
  5. Not calibrating thermometers. A probe that reads 2°C low means your "74°C" cooked chicken only reached 72°C. Calibrate regularly.

Making it simple

Temperature monitoring doesn't have to be complicated. The fundamental routine is:

  1. Check your fridges and freezers twice a day
  2. Check deliveries when they arrive
  3. Check cooking temperatures with a probe
  4. Record everything - temperature, time, who checked it
  5. Act on breaches immediately and document what you did
  6. Review your records weekly to spot trends
